Terms and Conditions

Thank you for booking with E3Adventures, our contractual Terms and Conditions represent an outline of our relationship with you, the booking organiser.

Risk

Participation in adventurous activities entails some risk. All staff employed by E3Adventures  are trained and appropriately qualified to run activity sessions and will at all times proceed in a manner to limit the risk of injury.

  • It is our responsibility to provide you with appropriate information / Risk Assessments / procedures.

Consent (Consent Form)

Any participant under the age of 18 years must have the explicit permission of their parent or guardian before being able to take part in any activity/course offered by E3Adventures . The parent or guardian need to be aware and accept the risks involved in adventure activities and satisfy themselves accordingly.

Responsibilities

Managing people in outdoor and adventurous activities requires joint leadership and responsibility between E3Adventures  and participants. E3Adventures  will take the lead in the management and organisation of the adventurous activity elements of the programme with support from you. Your staff will take the lead in managing and supervising the group when off activity, acting in Loco-Parentis throughout, with support from E3Adventures. All bookings are on the basis that the customer will, at all times, observe the safety regulations set by E3Adventures. E3Adventures reserves the right to exclude any persons whose behaviour would become a safety risk to themselves or other participants. There will be no refund for persons excluded from an expedition/activity.

Equipment (Kit List)

The customer is responsible for the safekeeping of all equipment issued for use during the activity/course. With the exception of fair wear and tear, E3Adventures reserves the right to charge for equipment that has been lost or misused. Customers shall provide appropriate non-specialized equipment/clothing for the activity and E3Adventures or its staff are not under any liability whatsoever in the respect of loss or damage to personal property, however caused, whilst attending the expedition/activity. Please seek clarification if you are unsure what clothing/equipment should be bought.

Health & Fitness

Customers participating in expeditions/activities must expect to be involved in adventurous and sometimes strenuous activities. Although prior experience and/or training are not necessary on all the expeditions/activities customers are expected to be of good general health. All prior injuries and/or serious illnesses must be declared. Any injury or illness occurring between the time of the declaration and the commencement of the course must be reported. The customer must satisfy themselves that taking part in the expedition/activity is within his/her own capabilities. E3Adventures Ltd reserves the right to refuse a booking on medical grounds if it is considered to be detrimental to the safety and smooth running of the expedition/activity.

Allergens

Where E3Adventures provides food for activities or residential trips all food will be bought specifically for that trip and all packaging will be available on request. It is the responsibility of the individual and the customer to inform E3Adventures of any allergens, and to decide whether the food is suitable for the individual. 

Insurance

E3Adventures is insured to carry out our activities as advertised and further details may be requested. E3Adventures recommends that all customers take out personal insurance for the expeditions/activity. 

Photographs

E3Adventures may take photographs or video during your expedition/activity. See our Privacy Policy. These images remain the property of E3Adventures. Consent will be sought and retained for any photographs or video used for marketing purposes.

Data Protection / GDPR

All information passed to E3Adventures will be treated as confidential and will not be passed to third parties. Customers should know that information will be passed to E3Adventures staff as is appropriate for the running and certification of expeditions/activities. We will only ask for a copy of the consent forms in the event of accident/incident, and information collected will be kept in line with GDPR

Fees

In general we will invoice for the expedition/activities following delivery however where we are required to book accommodation or staff in advance we will invoice you a 20% non-refundable deposit to secure the booking. The contract shall be formed upon payment of the deposit.

Amendments by the customer

Any cancellations or changes to the agreed programme or numbers must be in writing and sent by email. The company will acknowledge changes or cancellations within 5 days of receiving it. Until the customer has received confirmation the original booking remains valid.
The customer will be charged on the following basis:

  • 75% of the total course fee where cancellation takes place less that 6 weeks but more than 4 weeks before the commencement of the course; or
  • 100% of the total course fee where cancellation takes place within the period of 1 – 28 days before the commencement date of the course; or
  • 100% of the total course fee where cancellation takes place on or after the commencement date of the course.

Amendments by E3Adventures Ltd.

Whilst every attempt is made to ensure that expeditions/activities actually run on the dates advertised and in the location advertised, E3Adventures Ltd  will notify the customer of the alteration as soon as practicable where it believes on reasonable grounds that alteration is necessary due to dangerous and/or unsuitable conditions for the expedition/activity. E3Adventures Ltd is not liable for any extra cost incurred by the alteration of an expedition/activity.

Cancellation by E3Adventures Ltd.

Whilst every attempt is made to ensure that expeditions/activities actually run, the company will notify the customer of cancellation as soon as practicable where it believes on reasonable grounds that cancellation is necessary due to dangerous and/or unsuitable conditions for the course/activity. The company shall notify the customer of cancellation not less than five days prior to the commencement of the course where numbers as a result of either customer(s) cancellation or booked numbers have failed to reach a workable minimum.

In the event of cancellation customers will be offered the choice of the following options

  • Full refund of the fee paid; or
  • Another booking on a different date.
